Support Worker Records
Like with the service user record, the support worker also has a record that has tabs of information. In total the support worker has 11 tabs.
The first is details and it is here that the key personal information is held.
Next of Kin - This tab allows the user to record up to 2 persons contact and address information, in the event of an emergency.
Recruitment - This tab allows the user to add details of 2 referees nominated by the support worker, generate a reference request letter and record notes pertaining to any conversations they may have had with them.
CRB & POVA - Within the Support Workers record, there is the facility to record both their POVA and CRB information. CareFlex is designed to recognise those Support Workers who do not have either a POVA or CRB or both, and notify the user of this information when any bookings are created for that individual to attend. In addition to this CareFlex includes two standard reports; one that identifies which Support Workers do not have the appropriate authorisation and one which lists all Support Workers and the dates in which their CRB expires.
Care Schedule - Like with the service user, every support worker has a care schedule tab. This tab displays all the regular bookings they have assigned to them. Every time a new regular booking is created on either the support worker or service user record, the system will automatically update the information, so that duplication of data entry is removed.
Rates - Within this tab the user can record the rate of pay for the support worker. When a booking has been confirmed as completed or failed, the system will calculate what the support worker should be paid for it based on these rates (or via booking types if over-ridden).
Notepad - Within this tab, generic notes can be recorded against the service user's record as well as any 'log' items.
Absence - The support workers record include the facility to register absences. They can be added in advance or back dated according to the situation. The absence types are all created and managed by the individual agency.
The system will automatically re-assign any bookings for the support worker to 'no carer' for the absence recorded (provided the care plans have not been updated), thus ensuring that no bookings are missed.
Activity - Within this tab the user would be able to create, monitor and complete activities attached to the service user. It is linked to the Activity Manager module therefore should any amendments be made in either screen they will be automatically updated.
Blocking - CareFlex allows you to place a 'block' on a Support Worker, Service User combination. The adding of a block could be used to advise that a Support Worker cannot provide a service which involves heavy lifting but is ok with general care, or that the individuals have a personality difference and therefore would prefer that they are not assigned to each other. CareFlex recognises any block that has been added and will notify the user of this when a booking is created for them to attend. The user can override the block.
Documents - This tab allows the user to attach documents (word & Excel) to the support worker's record that can be accessed by all users of the system. Many agencies use it to attach a copy of supervision reviews, training certificates, appraisals, reference letters and other items relevant to the support worker which may be of use to other users of the system.
